This past weekend I hosted my first ever planner meet up with my awesome team of admins! We really pushed ourselves to plan it all in about 6 weeks. We had to find a location, sponsors, set up registration, and come up with fun things to do during the meet up. I’m still in awe at how great it went! We hosted the meet up at a local library here in Louisville, KY. It’s actually LEED certified and the greenest library in the city! The room, while on the small side, was perfect with floor to ceiling windows, plenty of tables and chairs, and room for us to have sign-in & a destash table. The librarian who helped us set up actually uses a bullet journal so it was awesome meeting another local planner.
Each us on the admin team were tasked with finding sponsors and everyone did an amazing job!
I’ve been lucky to work with Samantha Khur at Erin Condren in the past for my blog and she generously sent swag bags for all of our attendees! I was blown away when these giant boxes showed up on my doorstep! Everyone received an adorable burlap bag, tabletop calendar, jot your thought journal and a pack of pens. Shannon & Dave at Oh Hey Sticker Co sent the most adorable hand-doodled samplers for everyone. Melissa at PlanWithMR (who’s one the admins) made fleur de lis clips for everyone too!
We used Eventbrite for our registration (it’s free as long as your event is free) and it made it super quick and easy to check people in with my phone when they arrived. Once they checked in they were given their swag bag and filled out a giveaway ticket.
Throughout the event we pulled names from random for the giveaways we had collected. Each admin pulled a name for a giveaway they brought when doing their introductions. I gave away a bullet journal starter-kit, Laci gave away a Woodland Cottage Farm cover, Liz gave away an EC hardbound journal with a pack of pens, Betsy gave away an EC sticker book and a set of compliment cards, and Melissa gave away $20 credit to her Etsy shop.
Each of us had also reached out to some of our favorite shops and people in the planner community to put together giveaway bags filled with stuff from each shop. These bags included:
– LuLaRoe swag from Kristine Drews (unicorn keychain, unicorn socks, unicorn poop & a $10 credt)
– Ribbon clips from PlanWithMR and gingerbeeplans
– Stickers from Planneresque, Lexie Kylee Designs, Bubba Bear Studios, Little Miss Paperie, Krissyanne Designs, and It’s Planning Time
We also played a fun planner game that Melissa came up with and Erin Day of Small Town Grace donated a $25 gifcard for the prize. Attendees had 2 minutes to write down a planner item that started with each letter of the alphabet. The person who wrote down the most won. It seemed like everyone had a lot of fun with it!
The meetup lasted two hours and everyone enjoyed checking out each other’s planners, hitting up the destash table, swapping stickers, and buying/selling planner things. Below are some photos that were taken during the meet up. We ended the day with a planner stack!
